COPYRIGHT, TERMS & PRIVACY

COPYRIGHT POLICY
These policies apply to your use of our website, any Zen Math programs, tutoring services, digital resources, and any related content we provide (collectively, the “Services”). By using our Services, you agree to these policies.
Definitions
“Zen Math,” “we,” “us,” “our” means Zen Math and its team members, contractors, and tutors.
“Website” means our website(s), landing pages, and any portals or learning platforms we use.
“Materials” means all Zen Math content including videos, worksheets, PDFs, practice tests, mock exams, guides, frameworks, templates, emails, and any other educational resources we create or provide.
“Client” means the parent/guardian purchaser and/or the student receiving Services.
Ownership
All Zen Math Materials are owned by Zen Math unless otherwise stated. Materials are protected by copyright and other intellectual property laws.
Permitted use
When you purchase or access our Materials or Services, you receive a limited, personal, non-transferable license to use them for:
your own household and/or your own student’s learning, and
only for the duration of your access period (if your purchase includes limited-time access).
Not permitted
Unless we give written permission, you may not:
share, sell, distribute, post, upload, or forward Materials to others (including group chats, tutors outside Zen Math, or file-sharing sites),
copy or recreate Zen Math worksheets/tests/resources for resale or public distribution,
record or reproduce course videos or portal content,
remove watermarks, branding, or copyright notices.
Enforcement
Unauthorized sharing or reproduction may result in loss of access without refund and/or further action as permitted by law.
TERMS OF USE
Educational purpose only
Zen Math provides educational support (tutoring, study systems, and learning resources). We do not provide legal, medical, mental health, or psychological services.
No guarantees
We aim for excellent instruction and support, but results vary. Grades, confidence, and outcomes depend on many factors outside our control (attendance, effort, course pace, teacher expectations, learning needs, and consistency). Testimonials are examples and do not guarantee similar results.
Eligibility and parent/guardian responsibility
Because many Zen Math students are minors:
A parent/guardian must purchase Services and consent to our policies on the student’s behalf.
The parent/guardian is responsible for providing accurate information and supervising the student’s use of Materials as appropriate.
Account access and security
If you receive login access to a portal or resource library:
keep login details private,
do not share access with anyone outside your household,
notify us if you suspect unauthorized access.
Scheduling and tutoring sessions
Session format: Online tutoring sessions are delivered through a video platform selected by Zen Math.
Late arrivals: If a student arrives late, the session generally ends at the originally scheduled time (so the next student isn’t impacted), unless your tutor is available to extend.
Rescheduling and cancellations:
You may reschedule/cancel with at least 24 hours’ notice.
Late cancellations (less than 24 hours) and no-shows are charged as a session used, except in emergencies at our discretion.
No-shows: If a student does not attend within [10] minutes of start time without notice, the tutor may leave the meeting and the session counts as used.
Tutor changes: We may change your tutor if needed due to scheduling, team availability, or fit. We’ll aim to keep service continuity.
Payments
Prepaid sessions / monthly packages:
If you are on a prepaid model (example: 4 sessions per month), payment is due before sessions are delivered unless we’ve agreed otherwise in writing.
Accepted payment methods: [credit card / Stripe].
Currency: CAD unless otherwise stated.
Late or failed payments: If payment fails or is overdue, we may pause sessions or portal access until the account is brought current.
Digital products and access
Some Zen Math purchases are digital (downloads, portals, self-paced courses, resource vaults). Access is provided as described on the checkout page.
You are responsible for:
having appropriate devices/internet,
downloading files promptly if a download link expires,
contacting us if you don’t receive access.
Refund policy
Tutoring:
Tutoring sessions are non-refundable once delivered.
Unused prepaid sessions may be refundable only if requested within [7/14] days of purchase and if no sessions have been used, unless otherwise required by law.
Digital resources:
Due to the nature of digital Materials (instant access/download), all digital sales are final unless the sales page explicitly states otherwise.
Chargebacks
If you have an issue, please contact us first so we can help. Unwarranted chargebacks may result in immediate suspension of access to Materials and Services, and we may provide documentation of access and communications to the payment processor.
Community conduct
You agree not to:
harass, threaten, or discriminate against Zen Math staff, tutors, or other clients,
disrupt sessions or misuse learning platforms,
use our Services for unlawful purposes.
We may refuse or terminate service (and/or remove access) if conduct is unsafe, abusive, or repeatedly disruptive.
Third-party links and tools
We may link to third-party resources or use third-party platforms. We are not responsible for third-party content, privacy practices, or service availability.
Limitation of liability
To the fullest extent permitted by law:
Zen Math is not liable for indirect or consequential losses arising from use of the Website, Materials, or Services.
Our total liability, if any, will not exceed the amount you paid to Zen Math for the specific product or service giving rise to the claim.
Governing law
These policies are governed by the laws of Ontario and applicable federal laws of Canada, unless otherwise required by law. Any disputes will be handled in the courts of Ontario, unless another process is required or agreed in writing.
PRIVACY POLICY
What we collect
We may collect:
Contact info: parent/guardian name, email, phone number
Student info: first name, grade, course, learning goals, scheduling details
Learning info you share: teacher feedback, test results, accommodations, areas of struggle (only what you choose to provide)
Payment info: processed by our payment provider (we do not store full credit card details if using a third-party processor)
Website usage data: cookies/analytics (device, browser type, pages visited)
How we use information
We use your information to:
deliver tutoring and customer support,
provide portal access and resources you purchased,
communicate scheduling, updates, and receipts,
improve our services and learning resources,
send email newsletters/marketing (only where permitted, and you can unsubscribe).
Email and anti-spam
We follow Canadian anti-spam rules. You can unsubscribe from marketing emails using the link in any email. Transactional emails (receipts, scheduling, service notices) may still be sent as needed.
When we share information
We may share information with:
tutors and team members who need it to provide Services,
service providers who support operations (scheduling tools, learning platforms, payment processors, email providers),
legal/regulatory authorities if required by law.
We do not sell your personal information.
Minors and parental consent
Because our Services are often used by minors:
a parent/guardian must provide consent and purchase Services,
we collect only the information necessary to provide tutoring and support,
parents/guardians may request access, correction, or deletion of their child’s information where legally permitted.
Data retention
We keep information only as long as needed for business, educational support, and legal/accounting requirements. You may request deletion subject to legal obligations.
Your choices
You can request:
access to your personal information,
corrections,
withdrawal of consent for marketing emails,
deletion (where permitted).

Updates to this policy
We may update these policies from time to time. The “Effective date” at the top will change when updates are posted.
